This paper proposes an AI-Powered Unified Management System (UMS), a hybrid solution designed to streamline administrative oversight and real-time security verification. The system addresses two critical challenges: the high cognitive load on administrators and the prevalence of document forgery.</p> <p>The framework integrates a T5 Transformer model to optimize approval workflows. This architecture performs abstractive, summarization, condensing lengthy justifications into concise, actionable summaries for managers, reducing review time by 65%. For physical security, the system employs a dynamic verification engine. Approved requests generate PDFs embedded with unique, encrypted QR codes. Unlike static passes, these link to a live portal displaying the user’s profile image and real-time authorization status. Automated expiry logic ensures passes are invalidated immediately upon time-limit expiration. Experimental results demonstrate that this hybrid approach bridges the gap between administrative intelligence and physical security, offering a robust, cost-effective advancement in institutional governance and high-fidelity authentication.</p>
